Project Viva Research Operations and Data Management Platform (ROADMaP) Portal Terms of Use

The terms vary based on where you are located. Please scroll to the second section if you are not located in the U.S.

Located in the United States

Project Viva researchers at the Harvard Pilgrim Health Care Institute will collect certain identifiable information about you in order to provide you with access to the Viva ROADMaP. This information will generally include your name, and basic contact information. The ROADMaP systems administrators have access to all data within the system.

By using the Viva ROADMaP, you agree to Project Viva’s use and processing of your identifiable information for the purpose of establishing and managing your account in the Portal, which will ultimately allow you to access deidentified Project Viva data for your own research.

Project Viva may require access to your information to assist in supporting the Viva ROADMaP and underlying data, to generate reports on summary statistics about platform use, and to comply with legal or regulatory requirements.

Your Personal Information will not be used for research. Project Viva will retain your identifiable information solely for the purposes described above. All categories of data, including personal identifiers are expected to be retained for the life of the study, to support future reviews and audit. Upon completion of the study, your personal data will be destroyed.

Please note: you are not permitted to upload any information relating to an identified or identifiable person to the Viva Portal.

Located in a country other than the United States

If you are located in a country other than the United States (“your country”), your country may have a law with certain requirements for processing personal data relating to identified or identifiable individuals, that applies to entities outside of your country. This Addendum will refer to each of those laws as the “Law.” The Viva ROADMaP administrators, and anyone working with them, will process your Personal Information in compliance with applicable Law.

Project Viva researchers at the Harvard Pilgrim Health Care Institute will collect certain identifiable information about you in order to provide you with access to the Viva ROADMaP. These terms call such information your “Personal Information” and it will generally include your name, and basic contact information, such as your email and primary affiliation. The ROADMaP systems administrators have access to all data within the system.

Project Viva is the controller of this Personal Information. By using the Viva ROADMap, you agree to Project Viva’s use and processing of your identifiable information for the purpose of establishing and managing your account in the Portal, which will ultimately allow you to access deidentified Project Viva data for your own research.

By using the Viva ROADMap, you agree to the processing of your Personal Information in countries other than your country, including the United States. These countries may have established standards and practices for managing Personal Information that differ from those of your country. Regulators in your country may have determined that the data protection laws of the US and certain other countries do not protect Personal Information to the same extent as your country. Project Viva will take steps to maintain the confidentiality of your Personal Information.

Project Viva may require access to your information to assist in supporting the Viva ROADMaP and underlying data, to generate reports on summary statistics about platform use, and to comply with legal or regulatory requirements; including but not limited to:

Your Personal Information will not be used for research. Project Viva will retain your Personal Information (including your “Coded Information”, meaning your Personal Information that has been modified so that your identifiers, such as your name, email, personal attributes, or other identifiable responses, have been replaced by a number, letter, symbol, or combination thereof, to better secure the information) solely for the purpose of providing access to the Viva ROADMaP. All categories of data, including personal identifiers are expected to be retained for the life of the Portal, to support future reviews and audit. If the Portal is to be shut down, your personal data will be destroyed.

Under your country’s Law, you may have certain rights related to your Personal Information collected under this study. If you wish to exercise those rights, please contact Project_Viva@hphci.harvard.edu. Please note that under your country’s Law, you may also have the right to make a complaint to your country’s data protection authority, if you so choose.

Under the European Economic Area’s (and United Kingdom) General Data Protection Regulation (GDPR):

You have the right to see the information being collected about you for the FPHS Portal.

You have the right to correct or update your Personal Information if it is inaccurate.

You have the right to limit the collection and use of your Personal Information under certain circumstances (for example, if you think that the information is inaccurate).

You have the right to receive your Personal Information in a structured, common computer format (for example, in a readable text electronic file or chart) for your own purposes or for giving it to others, as required by applicable data protection laws.

You have the right to request the deletion of your Personal Information if you no longer wish to access the Viva ROADMaP. However, there are limits on your ability to request deletion of your Personal Information. Project Viva may keep and use some or all of your Personal Information if deletion would seriously impair the Portal or if your Personal Information is needed to comply with legal requirements.
